Features
A CRM that knows the work happens away from a desk.
CloseLoom is a web app for the whole company and an Android app for the people on the road. Here is what each part does today.
Calls
Every call on the record, without anybody typing it.
On an Android company phone, CloseLoom notices each call to or from a lead or contact and files it on the record with its time and length. The rep is asked for the outcome when they come back to the app. Calls to numbers on no record stay on the phone, unless the company asks for every call and the rep agrees on the phone.
- Tap to call from any lead, contact or account
- Outcomes your company defines, with a follow-up task in the same step
- New numbers become a lead of the rep’s, or wait under New numbers for a manager
- The dialer’s recording found and uploaded, heard by managers and admins only
- The team’s Calls page, with the calls that have no recording
- Call reviews (add-on): each recorded call transcribed and scored by AI against your own scorecard, with mistakes, objections and a coaching point
Visits
A visit is a place, a time and a photo, not a promise.
The rep checks in at the client with the phone’s location and checks out when they leave. The server checks the visit again on its own: how far from the client, how accurate the fix, whether the phone reported a mock location. Anything that does not add up is flagged for the manager to review.
- Check in and check out, with a map of the place and the nearest street
- Photos from the in-app camera only, uploaded when there is signal
- Flagged visits with the reason, for a manager to accept or question
- Location pings during working hours, only if the company turns them on and the rep consents
The inbox
Email, SMS and WhatsApp in one thread per person.
Write to a lead or contact from their record or from the inbox, now or at a time you choose, from a template or not. Replies come back into the same thread. Every message is on the record’s timeline, and a failed one says why it failed.
- SMS through the company number or from the rep’s own company SIM
- Texts the company phone sends and receives, kept when the company asks and the rep agrees, never one-time passwords or short codes
- WhatsApp through the Cloud API, with approved templates outside the 24-hour window
- Email from the rep’s own address, with replies threaded back
- STOP is obeyed, quiet hours and a daily limit for automated messages
- A rep reads their own mailbox, a manager their downline’s
The CRM
Leads, accounts, contacts and deals, the way a field team uses them.
A call list for the day, leads with their source and status, accounts with their people, and deals on a pipeline board. Custom fields where you need them, and a timeline on every record of everything that happened to it.
- Several pipelines, each with its own stages, and a board to drag deals across
- Import leads from CSV or Excel with the columns matched for you
- Tasks with due times, reminders on the phone and an overdue scan
- Search across leads, accounts, contacts and deals
- Teams: a rep sees their own records or their manager’s whole team
- Deleted records go to a bin, and a manager can bring them back
Quotes
From a deal to a signed-off price in one place.
Build a quote on a deal from your catalogue’s prices or lines of your own, with discounts and your tax rates. Above the discount you set, it waits for a manager. Send it as a link: the prospect reads the proposal and accepts or declines it on the page, and the deal’s value follows.
- Numbered quotes with revisions, totals worked out once and stored
- Your company’s introduction and terms prefilled, and a proposal to download
- Know when the prospect opened it; scanners are told apart from people
- Read and send quotes from the phone
Products and the marketing kit
What you sell, what it costs and what to send about it.
Each product has its own page: its prices, its marketing kit of files and links, and the people who sell it. Reps send material as a link of the prospect’s own and see when it was opened. Withdraw a brochure and every link ever sent stops working.
- A company-wide shelf beside each product’s
- Managers see what was sent and what was opened
- Products on leads and deals, so revenue by product is a sum, not a guess
Automations
Follow-ups that happen whether or not somebody remembers.
When a lead arrives, a deal moves, a quote is accepted or a reply comes in, an automation can wait, check a condition, send a message, create a task, assign the lead in turn or call your own systems. Try it on a test run before it touches a real record.
- A builder with pickers, not ids
- Example journeys to start from
- Every run and every step in its history
- Inactivity triggers for leads nobody has touched
For managers
The team’s day on one screen, and in your inbox at night.
The dashboard shows calls, visits and deals per rep against their targets, with a map of the day’s visits. Each evening, at the time you choose, the daily report goes by email, SMS or WhatsApp, and an alert goes out when a rep has gone quiet.
- Daily, weekly and monthly targets per rep
- The daily report, sent where people actually read it
- An alert when a rep has gone quiet
- An activity log of who changed what
For admins and developers
Yours to connect, export and leave.
API keys with a role no greater than their maker’s, signed webhooks with retries and a delivery history, and a complete export of your company’s data whenever you ask for it.
- A documented REST API and a list of events
- Roles: owner, admin, manager and rep
- Two-factor sign-in with recovery codes
- Retention you set for location pings, call recordings and webhook deliveries
